The Mailing List Application allows you to collect basic address and contact data (about your customers for example) and to (re)use this data for marketing purposes etc.
You can (re)use this data with other applications from our family of products - but also with third party applications - by "exporting" your data from the 'Mailing List' application for further use with other applications.
"Data" and its further processing is actually the purpose why we are using computers in the first place. Regrettably over the last decade or so we often focus more on all the surrounding hardware and software, updates and upgrades instead on this main purpose.
Our application is NOT a piece of often complicated CRM software (Customer Relationship Management Software). There is also not much computer jargon. Our target group - small businesses - are probably not much interested in all the hype either.
This application is especially useful for those
who have just one or a few PCs (or a small network) in their business or
SOHO (small office / home office).
Step 1:
Download a batch
file to set up the basic folder structure on your PC (file name: folder_path.zip)

and run the batch file: folder.bat to create the necessary
folder structure
on drive C:\ - keep the file:
path.txt for the moment in a safe place
Step 2:
Download a set of
so-called .dll files (dynamic link libraries) - to be copied into c:\tbsc
...

and copy them ALL into c:\tbsc ]
Step 3:
Download mailplus.zip
and copy the extracted files all into: c:\tbsc
For those who are just curious there is a FREEWARE
version of the Mailing List available from our FREEWARE site or
click here to download it: maillist.zip
. You can also run it "stand-alone" or use it within "MyAddress & Contact
Data !". Just copy the file "maillist.exe" into c:\tbsc and rename it to
"mailplus.exe".
There are of course differences to MAILPLUS, which offers much more convenient features like the Report Writer - but otherwise the FREEWARE version might just be the right tool for all your needs. You also need to perform Step 1 and 2 as listed before.
If you start out with the FREE MAILING LIST application
and want then continue with MAILPLUS and "MyAddress & Contact Data
!" - no problem. You can use the TOPSCAN utility and save your file:
people.tps as addrbook.tps.
How
does the application work ?
It is quite simple. You gather basic address data etc. from the BROWSE PEOPLE menu option and then allocate ...
( 1 ) one or more ATTRIBUTES to these "People"
For each person (company, organisation) you can allocate one or more "keywords" describing a certain matter, a subject, a like or dislike etc.

... and then there is
( 2 ) the INFORMATION to be provided for these "People"
Each person (company, organisation) can be allocated to one or more "Mailing Lists". This has not to be a "physical" mailing list to be sent out; it can also be an action, a reminder, Christmas Cards etc.
There are three basic reports you can create from the data gathered :

A list in ALPHABETICAL order which will allow you to make notes (on the right side of the page) about KEYWORDS and MAILING LISTS - there is enough space left on the right site of the page to make a note of these things; esp. important when you are doing it for the first time.

Most important for our target group is to (re)use (business)data - esp. when the business grows (and not to start with the same data entry all over again in a new application).
Some particulars regarding the re(use) of your data (esp. 'exporting' and related matters) ...
It is an IMPORTANT subject but often neglected.
Small businesses often experience that the software they have chosen at first does not fulfill their requirements after a while and they then purchase another package without giving much thought about the data they have already entered and what is in use.
Even if your Mailing List (or any other data base file) contains only 100 or 200 people - the efforts you have put in and the time you have spent to gather the data is likely to go into the hundreds of dollars. This is much more than the price for the software itself.
[ Imagine you would have to 're-enter' all the data because you have decided to use another software package. Do you have printouts of your data? If not - do you know how to make them? Would they be up-to-date? ]
Transferring existing data from one application to another is always a bit of a painful process; there is no doubt about it. But we make it as easy as possible.
You can (re)use your existing data (collected with the "Mailing List" application) with practically any other third party application and of course with "MyAddress & Contact Data !" - our own product.
Let's go through it and do it step-by-step together:

Download from our web site an evaluation copy of "MyAddress & Contact Data !" and install it according to the instructions provided with that application and on our web site.
You also need to download: folder_path.zip
and:
tbsc_dll.zip
[ usually included in: myaddress.zip ]
Read the instructions on how to install "MyAddress & Contact Data !" at: installation_myaddress.html

Download the "database scanner" TOPSCAN from our web site at:
install it and:
save the file: people.tps as addrbook.tps
You can now use your data within "MyAddress & Contact Data !" [ please keep in mind the number of records allowed in an evaluation copy. ].
If you want to use your existing data with other (third party) applications from here on then you have to perform the next steps:

Start "MyAddress and Contact Data!" and select "Export Address Book File to: addrexp.csv" from the FILE menu. This works fine even with the evaluation copy of "MyAddress & Contact Data !".
The resulting .CSV text file can now be used with applications like MS-EXCEL for further processing without any problems. CSV stands for "comma separated values". Just open the file: addrexp.csv from the FILE OPEN dialogue in the target application - but select as 'File Type': .CSV !

Please be aware:
If you want to use your data with other third party applications they have to offer IMPORT facilities (preferably with field matching) to import your data and to (re)use it.
If this is not possible then there is another way: you can use ODBC (Open Data Base Connectivity) - see also the extensive coverage on our website dealing with the subjects of 'ODBC' and 'EXPORTING'.
MOST USERS ARE NOT AWARE OF THE ISSUES RAISED HERE - ESP. NOT IN OUR TARGET GROUP.
IMPORTANT !
The assurance by a smart sales person that an application has 'import/export' facilities is not sufficient to make a well-founded purchase decision. We have just scratched the tip of the iceberg what has to be considered - please refer ALWAYS to the information on our web site for more details or: if you are a REGISTERED USER please send us an e-mail !
Even with the capability to import .CSV files you should insist on a test run before making this decision and check all your data carefully out.
NEVER operate on your original data !
How useful is this small application in practice ?

Stand-alone as an entry-level application to collect basic (address) data about people and then use it for practical marketing purposes in the small business: sending out newsletters, planning marketing actions, approach specific customer groups etc.
[ The data collected can also be exported to our application "MyAddress & Contact Data !" for further use. The same data base structure is used and NO information (data) is lost. From our application "MyAddress & Contact Data !" you can export the data to .CSV format which is compatible (and can be read) by nearly all spreadsheet and query applications. ]
Based on the collected data - exported to a spreadsheet
- you can do extensive queries, add new columns to complement the existing
data - the foundations have been laid for you.
Important Tips regarding "exporting" :
We DON'T recommend to use quotation marks [ " ] in text fields (for example in the NAME / COMPANY field) if you intend to use your data with spreadsheets etc. via "exporting" to a .CSV file.
Every time you want to export your address book we recommend to save the old version under another name (and for additional security in another folder). Any macros and formulas can then be copied over to the updated version ! In spreadsheets you might want to add additional columns, formulas etc.

When using "MyAddress & Contact Data !" in
one central (physical) location it is possible to export the existing address
data from that application and (re)use it at individual work places with
the Mailing List application.
The Mailing List Application can be called from the EDIT menu in "MyAddress & Contact Data !"
Use the TOPSCAN utility and save the file: addrbook.tps as people.tps !
[ Backup your files first from the FILE Menu in
the Mailing List Manager - PLUS. This puts the data on floppy (if inserted)
and into c:\bu_tbsc\data\mail. This folder has been created when you have
applied the file: folder.bat to create the basic structure for all our
applications. ]
This approach is of course only advisable if the update of address data is not necessary to be a "real-time" update, if it is not to be performed frequently and/or the relevant address data does not need to be updated.
A good example are hotels which do this work once a year after the season has ended !
If you have exported your address data to the Mailing List Application then the following colour codes could appear in the browse boxes.
A GREEN Address ID means that the record is COMPLETE (from an internal point of view in this business.
A GREY background means that a FLAG has been set for this record.
If the entry in the Name/Company box appears in NAVY, then this indicates a Follow-Up in general without setting a specific date.
Possible colour indicators of the Follow-Up-Date field:
BLUE = today
RED = overdue
GREEN = future date
More tips ...
If you are using "MyAddress & Contact Data" as the primary application to maintain your address data but also want to use the MAILING LIST application there are NO problems when DELETING records in "MyAddress & Contact Data" (which may still be listed in the Mailing List application - but you certainly don't want these deleted records to appear in your Mailing Lists).
Just export the address book file for use with the Mailing List application. Then delete any occuring instances in the MAILER OPTIONS of the Mailing List application where records are shown with an EMPTY "Name/Company" field - but a status is still shown).
If you are adding NEW records into "MyAddress & Contact Data" then we suggest you "flag" them, they are then also marked as NEW records in the Mailing List Application after exporting. You can then easily update KEYWORDS and MAILING OPTIONS for these NEW records. After exporting set the flags back to 0 in "MyAddress & Contact Data !"
OK - some may say: this is a little bit old-fashioned; yes it is because we want you to know what it going on with your data, we want you to be able to follow these things up and have transparency. We also think that the expected data volumes with our target group(s) are at such a level that it is justified to have a human being involved. We make it possible for you to manage your data, you know and learn on the way how it works - so we don't apologize for it !
Because we are actually dealing every day with the people in our target group we know what the underlying problem is: it is not only the flood of data and information (esp. since the Internet came up) - it is the lack of basics how to proper handle all these modern tools (our target group is mostly not in a position to employ a specialist to handle all this for them). People often know what they want, what they really need, they know how to manage their data in traditional ways and to make based on the information they retrieve from existing data in most cases the right decisions.
But we also see that sometimes people have become careful, very careful indeed (or should we better say suspicious) when they are confronted with all the new hardware and software technology. They just don't see the benefit anymore or no benefit at all with the whole "upgrade" and "update" race. This is esp. true in our target group.
Important is the information retrieved from
existing data - and as far as the core business tasks are concerned: the
functionality, the structure etc. of data to conduct a business sucessfully:
all this has not changed very much over decades. What has changed are the
tools - however: an old DOS spreadsheet from the early eighties compared
with the latest wizardry is totally sufficient (and you can bang your head
against the wall as long as you like - if you are in the "red" the latest
gimmicks can't help you either).
Creating Mailing Lists for bulk-mailing (e-mail)
The file: people.tps contains a field to enter a possible e-mail address.
Some personal words about e-mailing a message to many people. This should never be "spamming". Sending out Christmas message by e-mail is ridiculous - because no one believes you !
If sending out some bulk e-mail then there should be a very good reason. And from our point of view you should tell the recipients that you have chosen bulk mail for a certain important reason but not to bother them.
To create e-mail mailing lists there are several tasks to be performed:

Load down a FREE Bulk Mailer from: www.practicalsoftwaresolutions.net
and set it up ! The file is called: BulkMailer.zip - in case it is
no longer FREE what would be understandable if they add the additional
features - we still have it on our machine for your or on our web site
for download. Please contact us.
It works - the ratings we have found at: www.download.com are excellent !

Use the TOPSCAN Utility from within MAILPLUS, open the file: people.tps, show only one field: EMAIL and export the file to a .txt file under another name of your choice (NO Quotes, comma-delimited). When you open the file with NOTEPAD or a similar tool you should find a list like:
bluesoftware@altavista.it,

etc.

Use this file with the BulkMail application and send your e-mails.
Tip:
This was the best way to do it when using our applications. If you want to create your own mailing lists from other sources: Don't spend any money on purchasing an "e-mail extractor" ! You can do this so easily online - just go to:
www.bigbooster.com/extractor.php
and give it go ! This works too.
Exporting and Querying your
data
In the appendix there is a listing which contains all the fields in the file: people.tps. The file structure is identical to the file: addrbook.tps
In case you wonder why there are so many fields in this file - but only a few selected of them are actually used (or visible) for data entry purposes in the Mailing List application:
The Mailing List application contains only the fields used to fulfill its purpose (to create and manage mailing lists).
"MyAddress & Contact Data !" however goes far beyond the possibilities offered by the Mailing List application.
What is this field listing good for ?
It helps you to clarify the requirements related to importing / exporting data when you are thinking about using your data with third party applications, esp. as far as the field length and type is concerned (this is important for field matching).
Always do some trial runs with ALL the relevant
fields in your database before you make the decision to buy a third party
product !
IMPORTANT ( when "exporting" from within "MyAddress & Contact Data !" )
Fields of type MEMO are NOT exported - for example: the fields where you enter the E-Mail address and the URL for a website [fields: EMAIL (36) and NETADDR_ID (57)]. In spreadsheets they appear as empty columns: AJ and BE in this case.
Fields of type LONG are DATE fields and are only exported as their numeric equivalents. If you want to use them for querying your data after exporting it is absolutely necessary to read the following items on our web site:
Fields of the type LONG ( DATE fields ) can be read without conversion if you have installed ODBC drivers. But this too requires to read the documentation on our web site.
You can use the Database scanner: topscan.exe to view your data and also export it to a comma delimited .txt file for use with spreadsheets like MS-EXCEL for example.
NEVER operate on your original data !
MEMO fields will also be exported when using TOPSCAN - but the "date" problems remains and needs to be addressed as described in our item: exporting.html
To make this work all entries in a MEMO field - like NOTES etc. - should NOT contain any CRs (carriage returns); this is when you press the ENTER KEY. Just type in your text continuously etc. - it will automatically flow over to the next line in all our applications.
Example: allowed format:
The fat cat ate a fat rat and was very happy with the fat meal.
NOT allowed ...
The fat cat ate
then pressing <---|
a fat rat and was
then pressing <---|
very happy with the fat meal
This messes up the spreadsheet after exporting !
In TOPSCAN you should give the file you are exporting to a different name (usually with the .txt extension); as delimiter select COMMA - also check the boxes QUOTE STRING and CREATE TITLES.
Sorry - this is a jungle ! We try to keep it as
simple as possible (KISS principle).

Some words regarding the "querying" of your data ...
Professionals in the IT area, members of the Financial Controlling department etc. they may already use sophisticated query tools and applications - but what about all the people not normally involved with the jargon.
We recommend to visit the following web site: Dulcian, Inc. - www.dulcian.com ( Dr. Paul Dorsey ) Dr. Dorsey has published several items regarding this subject which we recommend to read:

He demonstrates convincingly in these items that this is NOT an easy subject. Yes - it can be learned (like adding up some numbers) - but most people are not used to it.
There are however nowadays easy ways to query
your data if you have ODBC installed - we recommend to visit our
QUERY page where we deal with the FREE WinSQL
application and what you can do with your data !
When things are going wrong with your data ....
The story with the five trucks unloading twenty-thousand catalogues from a mail order house in front of a remotely located farm house in the American Middle West might or might not be true. If it really happened then it was a once in a life time error - right ? Wrong !
OK - this story originated at a time thirty years ago - but in what a mess are we in today ! What a blunder, what a chaos we have to read about every day in our papers !
These things are happening nowadays more frequently. The author of this item has experienced this too and writes about it here:
"One of my favourite computer magazines is sponsored by someone for years. I don't know about the guy(s) who are doing so much good to me (I can't even say "Thank you" to them). Anyway: the normal subscription price would set me back per annum by around US $ 80.-- (~ NZ $ 190.--). OK - it's great; I can't complain and a big “Thank you” to them.
The story however doesn't end here. I also receive three (3) further complimentary copies of the same magazine every week: one with the same "last name" but abbreviated first name - the other two under different names (but going to my address). I know the other two guys - but have lost contact with them (I had once - a long time ago - asked a software house for demo disks of a program to be mailed to each of us). So the addresses must have found their way to the computer magazines' publisher (but the postal addresses got mixed up). And then I remembered recently - after years gone by - that another friend of mine who is living now in a different part of the country has also received the demo disk at that time. I gave him a ring the other day - and guess what: he is also the lucky recipient of a complimentary copy of this magazine each week (and this for years now).
Additionally I receive two further magazines from the same publisher totally free of charge every month because I belong now to the "few selected ones" - the "creme de la creme" if you want so. Let's say: I have "VIP" status (it means I am a "very important person").
After spending hours on the phone and pressing five dozen times 1,2,3 ... etc. to reach a human being at a call-center somewhere in South East Asia ( dealing with local client inquiries ! ) I have told the publishing company to stop it !
NO WAY ! I am a valuable client and I deserve what I get. Great. "
Just to report about some other experiences ....
I have ordered once several brochures over the Internet at a Government department in my native European home country. Because it is more than 20000 kilometers from here I have expected to receive the brochures by ship (and certainly not by AIRMAIL - or not at all).
I still remember the Internet session - after filling the "shopping cart" there was an error message when sending the order; I have tried it again with the same result and have forgotten the whole story. Just one week later the courier came daily for a chat with me and my wife (having a cup of coffee with us in the morning after unloading the junk); the letterbox was also full every day - the postman had to knock on our door because there was no space left anymore in the letterbox.
Everything what I had once ordered I have received on average seven or fourteen times (also things which I didn't order at all), plus everything in different European languages (and there are a lot). Still one year later I get the latest issues of any item I once ordered (and this of course seven or fourteen times) by Air-Mail ! The postage alone must have gone into the four digit figures ! Furthermore: I still receive piles of letters every month with an apology that certain items have not yet been delivered.
I have
experienced the same when requesting some info material from a leading
computer software manufacturer in Europe - at least they should have their
house in order (they are actually selling stuff to manage these things
better and to get organized.
