The "browse" screen provides a lot of information about the data collected.

An "Address ID" in green means that this record is complete ! "Complete" means that this address record fulfills certain data entry requirements that you have defined before. As part of your internal preparations - and before you enter any data - you should define which fields in addition to the "must entry" fields are necessary for your internal purposes. This depends on your (business) environment. We also recommend that you put these internal requirements in writing so everyone in your organization knows about these guidelines.

An "Address ID" with a grey background means that you have set a flag for this record. It could mean anything what you might consider necessary (important customer etc.). This feature is often used as a "temporary" reminder. It could also mean that you want to remove these records from your database, update them or any other (useful) purpose.

A record high-lighted in yellow (or with a background in navy) is the one you can process by clicking on the "Change" button. If your right-click on a record in a "browse" box - a pop-up window appears to perform the same tasks.

Name/Company in "blue" means that there is a general "follow-up" without a date defined.

You don't have necessarily to set a date for this. However: if you set a date without ticking the general follow-up box then the field: Name/Company also appears in blue (but not in blue, red or green).

Follow-Up Date in blue means: the follow-up is due TODAY
Follow-Up Date in red means: the follow-up is OVERDUE ( < today )
Follow-Up Date in green means: the follow-up is at a date in the FUTURE ( > today )

If you click on the tab: "Follow-Up" then all your records are sorted according to the "Follow-Up Date" - this way you can monitor the urgency. Records for which you have not defined a specific "Follow-Up Date" are the first in the list, incl. those records (in blue) which you have marked for a general follow-up without specifying a date.

We have pre-defined several tabs (which represent a certain sort order):

- records sorted by Address ID
- records sorted by Name/Company
- records sorted by Follow-Up Date
- records sorted by (Business) Category
- records sorted by City
- records sorted by ZIP Code / Post Code
- records sorted by Country
- records sorted by User defined fields ( UD1 - UD 4 - text fields )

This is a very practical feature which everyone can handle easily. Esp. those businesses who have a high output as far as information material (brochures etc.) are concerned will appreciate this one because it allows to check for duplicate addresses, wrong addresses, double requests of information material and much more without using query tools etc.
 


For practical reasons: Don't throw away your (paper) diary in which you make all your important entries, which you have handy when making a phone call etc. - there is nothing better than your "diary" or your "organizer" (like a FILOFAX etc.) !

With our module we can help you  to see a little bit of the other dimensions - a timeline for example - and also present certain facts which are impossible to visualize in context in a diary (because they reflect importance, time, sort criteria etc.), finding wrong address entries, re-using the data for other purposes. All this is not possible with handwritten notes in a paper based diary.
 


On the other hand: How would we all manage our day-to-day business without the small and larger POST-IT notes plus similar pieces of paper everywhere, the inspiration we get from drawing often unrecognizable symbols, structures etc. on them. You can't do this for hours on your screen (some try it on their mousepads instead).
